Administrative Danish

Level 6

Administrative Danish (administrativt dansk) is the formal language of government, law, and official institutions. It prioritizes neutrality and precision over personal connection, often using the passive voice and turning actions into nouns.

How It Works

Administrative Danish is defined by several key linguistic features:

  • The -s Passive: Unlike spoken Danish which favors the blive-passive, official documents use the s-passive (e.g., fremsendes, meddeles) to state rules or recurring actions where the agent is irrelevant.
  • Nominal Style: This involves turning verbs into nouns. Instead of 'We decided to change the law,' an official might write 'The decision regarding the change of the law...' (Beslutningen om ændring af loven...). See nominal style for more.
  • Compound Prepositions: Formal Danish relies on complex prepositional phrases like i forbindelse med (in connection with) or med henblik på (with a view to) to link ideas precisely.
  • Sentence Structure (Forvægt): Administrative texts often use 'front-loading,' where long adverbial phrases are placed at the start. Because of the V2 word order, this triggers inversion, placing the verb in the second position and pushing the subject later in the sentence, creating a heavy, formal rhythm.
  • Fixed Adverbs: Words like hermed (herewith) and herved (hereby) act as formal anchors. Placing these at the start of a sentence is a hallmark of the register.
  • Address: While the formal De/Dem/Deres was once standard, modern administrative Danish often uses du, though the surrounding vocabulary remains highly formal.

Examples (5)

  1. Hermed fremsendes Deres ansøgning til videre foranstaltning.

Your application is herewith forwarded for further action.

Word by Word: Herewith is-forwarded Your application to further arrangement.

Uses 'hermed' and the s-passive 'fremsendes' to create a formal, neutral tone.

  2. Vedrørende Deres henvendelse af 12. maj skal det herved meddeles, at sagen er under behandling.

Concerning your inquiry of May 12, it is hereby informed that the case is under consideration.

Word by Word: Concerning Your inquiry of 12. May shall it hereby be-informed, that the-case is under treatment.

'Vedrørende' is the formal choice for 'concerning,' and 'herved' indicates the document itself is performing the act of informing.

  3. Det henstilles, at beløbet indbetales senest otte dage fra dags dato.

It is requested that the amount be paid no later than eight days from today's date.

Word by Word: It is-requested, that the-amount is-paid latest eight days from day's date.

Uses 'det henstilles' (it is requested) to avoid a direct command, maintaining professional distance.

  4. Beslutningen om afslag er truffet på baggrund af gældende lovgivning.

The decision regarding the refusal was made on the basis of current legislation.

Word by Word: The-decision about refusal is taken on background of current legislation.

A classic example of nominal style, using 'beslutningen' (the decision) and 'afslag' (refusal) instead of verbs.

  5. I forbindelse med Deres henvendelse har vi med henblik på en hurtig afklaring iværksat en undersøgelse.

In connection with your inquiry, we have initiated an investigation with a view to a quick clarification.

Word by Word: In connection with Your inquiry have we with view on a quick clarification initiated an investigation.

Demonstrates compound prepositions and 'forvægt' (front-loading), where complex information precedes the main subject and verb.

Common Mistakes

  • Using 'De' (formal you) to be polite in a standard workplace.

Different MeaningVil De have en kop kaffe, chef?
Vil du have en kop kaffe?

In modern Denmark, 'De' with a boss or colleague usually sounds cold, distant or even ironic, so most people use 'du'. 'De' is still used in some very formal letters, for example to the Royal House, and by some older speakers.

  • Mixing formal administrative openings with casual closings.

    Hermed fremsendes dokumentet. Hej hej!
Hermed fremsendes dokumentet. Med venlig hilsen, [Navn].

Consistency in register is vital. If you use administrative vocabulary, you must use a formal closing like 'Med venlig hilsen'.

  • Using 'vedrørende' in casual daily emails.

Different MeaningJeg skriver vedrørende vores frokostaftale.
    Jeg skriver om vores frokostaftale.

'Vedrørende' is very heavy. For everyday topics like lunch, use the neutral preposition 'om'.

Learn This First

Administrative Danish is a high-level register used in official and legal correspondence. To learn it, learners must be comfortable with formal address (De/Deres), the use of the s-passive for impersonal instructions, and the general conventions of bureaucratic 'kancellistil', which favors specific formal verbs and connectors over everyday language.
